Our Methodology

How we approach each engagement

1

Listen first

We begin every engagement by sitting with the people who actually handle the documents — the project director, the contracts manager, the site supervisor. We read your recent RFIs and submittals before we say anything. Understanding your current process comes before recommending any change to it.

2

Fit, not force

If a particular AI tool would genuinely reduce document handling time on your project, we say so clearly and show where. If it would create more work or introduce risk without clear benefit, we say that instead. We adapt the tool to your workflow, not the other way around.

3

Document the arrangement

Every engagement ends with a written deliverable — a brief, a usage policy, or a monthly audit summary. These documents are written in plain language for project directors and contracts managers, not for technology departments. They can be filed, shared with a client, or included in a board report.

Site Process Review

REF-SVC-001 · RM 1,260

Site Process Review

A focused two-week study of one active project. We sit with the project director, contracts manager, and site supervisor, read recent RFIs, variations, and submittals, and write a brief on where careful AI summarisation could ease document handling. The deliverable is CIDB-aware and includes notes on how to introduce the assist without disrupting site rhythms.

What is included:

  • Two-week engagement on one active project
  • Interviews with project director, contracts manager, site supervisor
  • Review of recent RFIs, variation orders, submittals
  • Written brief — CIDB-aware, plain language, actionable
  • Notes on site rhythm integration considerations

Process steps:

  1. 1Scope confirmation and document access agreement (Day 1–2)
  2. 2Document review and team interviews (Day 3–8)
  3. 3Draft brief prepared and reviewed internally (Day 9–11)
  4. 4Final brief delivered and walk-through with client (Day 12–14)

RFI & Submittal Drafting Pilot

  • Read-only integration with existing document register
  • Bilingual training (English & Bahasa Malaysia)

Shared Standards

Protocols that apply across all engagements

Confidentiality

Project documents shared with us are treated as confidential. NDA arrangements available before any data exchange. We retain nothing beyond the engagement scope.

Human-First Confirmation

No AI-assisted document leaves a client's office without explicit human review and confirmation. This applies at every stage of every engagement.

CIDB Reference

All written deliverables reference current CIDB Construction Industry Standards. Regulatory flags are noted wherever AI-assisted processes may interact with contract administration obligations.

Pre-Agreed Scope

Every engagement starts with a written scope confirmation. Fixed fees do not change unless scope changes by mutual agreement before the work begins.

Read-Only Data Access

Where our tools connect to a project document register, access is strictly read-only. We do not create, modify, or delete project records under any circumstances.

Plain Language Deliverables

Briefs and policy documents are written for project directors and contracts managers, not for technology teams. Clear structure, no jargon, suitable for filing with project records.
